Summer internship season is here! Interns bring fresh perspectives, enthusiasm, and help with important projects. But before your summer interns start working, there's a critical compliance step: Form I-9.
Every new hire—including unpaid interns—must complete Form I-9 within three business days of starting work. For busy Greensboro employers, coordinating this requirement can be a challenge. TLG Notary Services is here to help.
What Is Form I-9?
Form I-9, Employment Eligibility Verification, is required by U.S. Citizenship and Immigration Services for every person hired to work in the United States. The form verifies that the employee is authorized to work in the U.S.
Form I-9 has three sections:
Section 1: Completed by the employee on or before their first day of work. The employee attests to their citizenship or work authorization status.
Section 2: Completed by the employer or authorized representative within three business days of hire. The employer examines the employee's original documents and attests to their authenticity.
Section 3: Used for reverification or rehires.
Who Can Complete Section 2?
Section 2 must be completed by either:
-
The employer (or someone acting on their behalf, such as an HR staff member)
-
An authorized representative, which can include a notary public
When a notary serves as authorized representative, they examine the employee's original documents, attest to their authenticity, and sign the form.
Why Greensboro Employers Use Notaries for Summer Intern I-9 Forms

Important Notes for Employers
-
The notary does not keep copies of I-9 forms. Retain them securely with employee records.
-
The employer remains ultimately responsible for I-9 compliance, even when using an authorized representative.
-
Notaries cannot provide legal advice about which documents are acceptable.
-
I-9 appointments are separate from notarization of other documents.
Common I-9 Mistakes to Avoid
-
Waiting too long: Section 2 must be completed within three business days of hire.
-
Accepting expired documents: All documents must be current.
-
Not examining original documents: Photocopies are not acceptable for Section 2 completion.
-
Missing signatures: Section 2 requires the authorized representative's signature and date.
